I have tested, built around, or paid for almost every major real estate software out there, and not one of them is made the same. Six years of subscriptions, one tier list, must-have to meh, with the reasoning.
The short version
SkipMatrix, custom AI texting
The premium tracer for lists where every number counts, and the custom texting stack that cut my VA team from three to one. The two things I would rebuild first if my business reset tomorrow.
Kind, Claude, Smarter Contact, Vapi, Airtable, PropStream
Best value tracer, best AI model, best out-of-box texting, best voice AI, the base for custom CRMs, and the best overall property data. Each is the top of its category, held back only by price or learning curve.
ChatGPT, GoHighLevel, Launch Control, Retell AI, REsimpli, Propwire, DealMachine
Genuinely good tools with one real catch each: price, limits, or a niche you might not be in. Worth using in the right situation, not worth defaulting to.

The GoHighLevel white labels. Cheap in dollars, expensive in carrier blocks, bans, and support tickets. My custom-build clients keep arriving from exactly these two.
Podio
My own CRM for six years, and it has not changed in six years. No AI, weak automation hooks, frozen UI. The price is no longer enough. It hurts me to put it here.
Skip tracing: Kind and SkipMatrix
Only two tracers made the list; everything else I have tested lands at meh or below.
Kind: excellent. At 1.5 to 4 cents a record by volume, the value for money is not fair to the rest of the market. Best tracing? No. Best tracing for the money? Not close.
SkipMatrix: must-have, despite the price. On a 5,000-record landlord list, a margin of error costs contacts you will never miss. On a 100-record stacked list of owners you know are motivated, missing numbers is missing deals. Small targeted lists are where wholesaling is going, and for those there is no better service. The head-to-head numbers live in my guru software test.
The AI assistants: ChatGPT and Claude
ChatGPT: solid. It gets hate for being passed by, but for an everyday user the chat memory and quality still make it the best daily driver.
Claude: excellent, and my favorite AI platform, full stop. Programming, client systems, anything where the output has to be right, I use Claude over everything, Gemini and Grok included. It stays out of must-have on price and an everyday memory experience that pushes you into projects. If neither bothers you, treat it as must-have.
The GoHighLevel family
GoHighLevel: solid. Genuinely innovative automations for a small business starting out. The catch arrives at scale: an out-of-box product at custom-build prices, and businesses that outgrew it are a steady share of my custom system clients.
REI Reply, built on GoHighLevel: skip. Cheap entry, and you get what you pay for: hard limits, weak support, bans over word choices, 10DLC registrations dying in review. A cheap classroom for automation, not a system to scale on.
XLeads, also built on GoHighLevel: skip, and this might be controversial. I wanted to like it, I like Rick and Zach, and I tested it against the incumbents. In the last few months a handful of clients landed on my desk specifically because they were tired of it, mostly carrier blocking. Less AI on the label, more optimization in the box, and it climbs this list. Not yet.
Texting: Launch Control, Smarter Contact, and the custom route
Launch Control: solid. Top-two out-of-box, great UI, support, and delivery, with the price, market, and verbiage limits from my texting comparison.
Smarter Contact: excellent, still the best out-of-box texting there is. Great response rates and no walls: any market, any state, unlimited follow-ups.
Above both, the custom AI texting platform: must-have. I built mine a couple of years ago and now build them for other investors. AI carries the conversations, automations carry the follow-up, and against an out-of-box subscription the cost comparison stops being interesting. The only reason people do not rank it here is they have not seen one run. That conversation is what SystemLaunch is for.
Voice AI: Vapi and Retell
Your texting, mailers, and website all generate inbound calls. The choice is a $700 to $1,000 a month VA or a voice agent around a hundred bucks a month that actually converts. I run one in my own business.
Retell AI: solid, the easy out-of-box build. Vapi: excellent, harder to build and higher ceiling: webhooks, deep customization, and noticeably more human when built right. Start with Retell; go deep on Vapi.
CRMs: Podio, REsimpli, Airtable
Podio: meh, and it hurts. It held my pipeline for six years and I have recommended it on this blog. The update: it has not innovated the entire time I have been in real estate. No AI, weak automation hooks, same UI. The price is no longer the whole story.
REsimpli: solid. Purpose-built and genuinely good, but $200 to $300 a month for what is fundamentally data storage is a hard sell in my math.
Airtable: top of excellent, flirting with must-have. A moldable database, which is the point: I build custom real estate CRMs on it, with automations, AI, and follow-ups shaped to the business, the same builds from my AI systems post. Building exactly yours on a $20 seat beats renting almost-yours for $300. Watch item: Airtable was just acquired, so keep an eye on pricing.
Data platforms: Propwire, PropStream, DealMachine

- Propwire: solid. Free matters, and no custom list uploads kills it for my land business
- DealMachine: solid, the clear pick if you drive for dollars or send mail
- PropStream: bottom of excellent. County uploads by APN, deepest filters, best overall data across houses, land, and multifamily. The one I pay for.

This isn't for you if
- You want one answer instead of a tier list. Fine: SkipMatrix for tracing, Smarter Contact for texting, PropStream for data, Airtable for the CRM. That stack has no meh in it.
- You are happy with a tool I ranked low. Rankings are my experience across my business and my clients'. A tool that is paying for itself in your business does not need my tier.
- You are collecting subscriptions instead of closing deals. Every tier here assumes the marketing is actually running.
Bottom line
Rankings move. Podio fell out of my stack after six years, PropStream slid from must-have to excellent, and the top of this list did not exist as a category when I started. The pattern is hard to miss: specialists and custom builds keep rising, do-everything boxes keep sliding. Rent the specialists. Own the core.
